Terms of service

The terms that govern your use of Bilvo — what we're responsible for, and what you are.

Last updated 30 July 2026

These terms govern your use of Bilvo. By creating an account you agree to them. We’ve tried to write them in plain language — where something matters, it’s stated rather than buried.

Bilvo is operated by [PLACEHOLDER: registered legal entity name], registered in [PLACEHOLDER: jurisdiction] at [PLACEHOLDER: registered address] (“we”, “us”). “You” means the business using Bilvo.

1. Your account

You need an account to use Bilvo. You must give accurate details, keep your password to yourself, and tell us promptly if you think someone else has access. You’re responsible for what happens under your account.

One account represents one business. In this version each business has a single login — if several people need access, they share it, and we’d rather you waited for proper team support than treated that as a feature.

You must be old enough to enter a contract where you live, and using Bilvo must be lawful there.

2. What Bilvo does

Bilvo lets you create and send invoices, manage customer records, accept payments through a connected payment gateway, and issue receipts. What the service includes may change as we develop it. We’ll give reasonable notice before removing something you rely on.

3. Fees

Bilvo is currently free while in early access. No card is required and nothing can be charged to you.

We intend to introduce paid plans later. If we do, we’ll tell you beforehand and you’ll choose whether to take one — we won’t move you onto a paid plan automatically, and we won’t start charging an existing account without your agreement.

Separately from us, your payment gateway charges its own transaction fees under your agreement with them. We don’t add fees to your customers’ payments.

4. Payments and your money

We never hold your money. Payments go directly from your customer to your own Flutterwave or Paystack account using credentials you supply. We’re not a payment processor, a bank, or an escrow service, and we’re not a party to the transaction.

Your customer enters their card details on the gateway’s own hosted checkout page. Those details never pass through Bilvo.

Your use of a gateway is governed by that gateway’s terms. Payment failures, chargebacks, refunds, settlement timing and disputes are between you, your customer and the gateway. We’ll help you trace what happened where we can, but we can’t resolve them for you.

5. Your data and content

Your invoices, customer records and business details remain yours. We claim no ownership of them. We process them to provide the service — storing them, rendering them into PDFs, and emailing them to the recipients you specify.

You’re responsible for the accuracy and lawfulness of what you put in. That includes having a proper basis for holding your customers’ personal data and for emailing them. Our privacy policy explains how we handle it.

You can download your invoices and receipts as PDFs at any time. If you stop using Bilvo, your records remain accessible for as long as your account exists.

6. Acceptable use

You agree not to:

  • use Bilvo to invoice for anything unlawful, or to defraud or mislead anyone
  • send invoices to people who have no dealings with you, or otherwise use the service to send unsolicited email
  • impersonate another business, or invoice under a name you have no right to use
  • attempt to access another business’s data, probe or disrupt the service, or work around its security
  • resell or white-label Bilvo as your own product without our written agreement

Testing our security in good faith is welcome — please read the reporting note on our contact page first, and never test against another business’s data.

7. Suspension

We may suspend or close an account that breaches these terms, is being used unlawfully, or puts the service or other businesses at risk. Where it’s reasonable to do so we’ll tell you first and give you a chance to put it right. Where the risk is immediate, we may act first and explain afterwards.

If we close your account you’ll have a reasonable opportunity to export your records, except where the law prevents it.

8. Closing your account

You can stop using Bilvo whenever you like. [PLACEHOLDER: describe how to request account deletion, and the retention period before data is erased.] Some records are kept after deletion where we’re required to keep them, or to maintain the audit trail described in our privacy policy.

9. Availability

We work to keep Bilvo available and reliable, but we don’t promise it will be uninterrupted or error-free. We may need to take it down for maintenance, and we depend on third parties — payment gateways, email providers, hosting — whose outages we can’t control.

Bilvo isn’t accounting software and isn’t a substitute for professional advice. You’re responsible for your own tax and regulatory obligations, including the tax rates you put on your invoices — we don’t calculate or verify them.

10. Liability

[PLACEHOLDER: liability limitations and exclusions, drafted for your jurisdiction. This clause has real legal effect and should not be adapted from a template without advice.]

Nothing in these terms limits liability that can’t be limited by law.

11. Changes to these terms

We may update these terms as the product changes. If a change materially affects you, we’ll give notice by email or in the app before it takes effect. Continuing to use Bilvo after that means you accept the updated terms.

12. Governing law

[PLACEHOLDER: governing law and the courts that have jurisdiction.]
